Welcome to the Wiki guide submitting fragrance data through the Creme RIFM Data Portal tool. This guide will explain the type of data that RIFM requires, how to register and how to submit data.


Who Should Submit Data

The RIFM surveys are to be completed by any company that produces fragrance compounds (Fragrance oil/fragrance mixture).

Web Browsers

We recommend that the best user experience of the Creme RIFM Data Portal tool is achieved using Google Chrome, FireFox and Safari web browsers. Google Chrome can be downloaded here, FireFox can be downloaded from here and Safari can be downloaded from here. Please note that the advanced data editing capabilities of the RIFM Data Portal are not compatible with older versions of Internet Explorer (versions 8 & 9)

Registering for the Creme RIFM Data Portal

To register for the Creme RIFM Data Portal, please go here

Once there you will be presented with the following login page. If you have not created an account you can click the sign up link on the bottom right of the page to create an account.

To sign up please enter all your details as shown below

You will receive an email asking to confirm your email address, if you do not receive an email within a few minutes, please check your spam folder and get in contact with us at rifm-support@cremeglobal.com. Once you confirm through the email notification you can sign in to the Creme RIFM Data Portal.

If you forget your password when signing in you can go to forgot password and ask for a new one.

Navigating your Work Space

Once you have registered you can sign into your work space, as shown below. To begin. select 'Add a file' or 'New File'.

A pop up will display all the fragrances that RIFM are collecting in their current survey, as shown below. There will usually be approximately 200 CAS numbers to choose from

Select a fragrance by CAS number for which you have data to submit, and select the 'Create File' button as shown below

This will create an empty file for the fragrance in your work space, as shown below. This CAS number will then be removed from the above list.

If you made a wrong selection you can remove the file by selecting 'Delete'.

There is a separate online Excel-style editable spread sheet for each fragrance ingredient of interest (defined by CAS number) where data can be copied to. All of these sheets should be completed in each survey.

Providing Data

Type of Data required

The data that are to be provided is the concentration of the fragrance ingredient in the fragrance compound (fragrance oil/fragrance mixture), referred to here as "Level 1" fragrance concentration.

The submitted data are to contain the fragrance ingredient concentration data for a particular marketed fragrance compound (fragrance oil/fragrance mixture), across a range of hydroalcoholic, cosmetic, personal care, oral care and air care products.

IMPORTANT: The fragrance data provided in these surveys will be handled confidentially, and will only be made available to RIFM (for data collection), and Creme Global (for data aggregation and model integration). In particular, this fragrance concentration data will not be viewable in the software model.

Concentrations are to be provided always as a percentage (all values within the range 0 to 100). The concentration provided is the concentration of the fragrance ingredient in the fragrance compound (fragrance oil; fragrance mixture), not the concentration in the final product.

There is one format in which the data can be specified:Dis-aggregated Data. This is the raw concentration data, with one entry for each concentration recorded. Any number of entries can be entered.

This type of format provides the most detailed data, therefore this type is the preferred format.

Product Code Names

If you select the 'Edit' button in your work space it will open an editable Excel-style spreadsheet with 24 columns for the products which fragrance data is to be collected for. Product Code names are used, many of which are self explanatory, while others are explained in further detail in the table below

In the case that concentration data are not explicitly known for the exact product listed - the most relevant data should be used, and comments can be added where necessary. (For example, if data are only available for "BodyLotion" and not separately for "BodyLotionMass", BodyLotionPrestige - then it would be appropriate to use the "BodyLotion" data for both types, and indicate this in the comments). In the case that no data are entered for a particular product / sheet - it will be understood to mean that the fragrance compound is not used in this product.

Inputting Data

The data editor is similar in format to an Excel spread sheet, therefore, it is possible to copy and past data directly into the cells.

The data must be concentration values between 0 and 100 as shown below (the data was randomly produced in example below).

Invalid Data

If invalid data is entered then a warning will pop up showing how many errors there are and why the error occurred. You can a press a button to direct you to the first error, and every error after that.

Submitting Data

Once the data has been Saved and Submitted it will show up as Submitted in your workspace, as shown below. You can not edit this, but only view the data once it is submitted

Select as many CAS numbers as you can supply data for and submit before survey closing date.
